What Is Process Mapping?
Process mapping starts with a simple idea: a process should deliver the same outcome every time, regardless of who carries it out or how busy the team is. During the session we unpack the hierarchy that sits behind every process, from high-level policies set by senior leadership, down through processes, procedures and the detailed work instructions that describe exactly how a task is performed. Knowing where a document sits in that hierarchy is the first step to mapping it accurately.
What You'll Get From This Training
By the end of the training, delegates will be able to define what a process is and describe one clearly, extract a process from written documentation such as procedures, guidance notes and forms, and confidently challenge existing documentation when it is unclear, contradictory or incomplete. We also look at why organisations bother capturing process at all: to give staff and customers clarity over who is responsible for each task, to support the transfer of knowledge, and to help teams measure performance, spot bottlenecks and identify where improvement is needed.
Learning Through a Real Case Study: GNVR Inspections
To put the theory into practice, delegates work through the GNVR Inspections case study, a fictional company created by Process Envision. GNVR's information is spread across emails, forms and procedures across its Sales, Service Delivery and Finance teams, and is deliberately ambiguous, incomplete or simply wrong, just as it often is in the real world. Working from GNVR's organisation structure and supporting documents, delegates practise identifying inputs, activities and outputs, turning a handful of everyday pages into a clear four or five step process map.
A Snippet From the Service Delivery Procedure
As part of the Service Delivery team's documents, GNVR provides an Operations Procedure describing the everyday steps its consultants follow to deliver a consistent service to every customer. It covers basics such as logging on securely to check for new orders each morning, following strict password rules, and then emailing the customer to confirm the visit, including details like vehicle registration, access requirements and expected arrival time. Extracts like this are typical of the real, unpolished material delegates learn to turn into a clear, reliable process map.
